The CloudGate Microsoft Outlook Add-in (Smart Calendar) seamlessly integrates workspace booking with Microsoft Outlook, enabling users to search for meeting spaces managed by CloudGate, directly from a Microsoft Outlook calendar appointment, search by attribute as well as date and size of the room it also remembers your preferred search criteria for future bookings. Move or delete a calendar event and Smart Calendar takes care of the rest. The Calendar is always kept up to date and any room conflicts are automatically resolved. Full integration with video equipment such as Teams and Zoom rooms enables a one-click join experience.

Key Features

An intuitive user experience.
Space bookings are automatically updated if a booked event is moved into the calendar. If the resource originally booked is not available for the new time, an alternative is automatically found, and all invitees are updated.
Booking resources for recurring meetings, if the resource chosen is not available for every occurrence of the meeting alternative resources are automatically found and booked and calendars are updated.
If an event is canceled in Outlook, the room booking within CloudGate is automatically deleted.
Administrators can change the booking of another user in the web app, and the event is automatically updated.

How to Integrate?

Once CloudGate Smart Calendar is configured for your organization, an administrator can deploy the CloudGate Outlook Add-in to all or selected Outlook clients using the Microsoft app center.
